1. Who We Are
This Privacy Policy explains how Yellowstone County Mental Health Alliance, LLC ("YCMHA," "we," "us," or "our") collects, uses, discloses, and protects personal information when you visit https://www.ycmentalhealthalliance.com, create an account, become a member, register for an event, participate in continuing education, subscribe to our newsletter, apply to speak, submit information, purchase a sponsorship or other service, or otherwise interact with us.
YCMHA is a Montana limited liability company that supports connection, collaboration, education, professional development, and resource sharing among mental health and wellness professionals, organizations, businesses, and community partners.
YCMHA is not a healthcare provider, counseling practice, crisis service, or referral agency. The Website is not intended to collect clinical records or protected health information about clients or patients.
2. Information We Collect
The information we collect depends on how you interact with YCMHA.
2.1 Information You Provide Directly
We may collect:
- Contact information, such as your name, email address, telephone number, mailing address, organization, job title, and professional role.
- Account and membership information, such as your username, password in encrypted form, membership type, organization affiliation, account status, membership dates, and benefit usage.
- Professional information, such as credentials, license type, professional specialties, populations served, service locations, website and social media links, and other information you choose to submit for a member or organization profile.
- Registration and participation information, such as the events or programs you register for, attendance, accessibility or dietary requests, evaluations, survey responses, and communications about an event.
- Continuing education information, such as your name, professional credential or license information when requested, program attended, attendance verification, evaluation responses, fees paid, credit hours earned, and certificate records.
- Transaction information, such as the membership, registration, sponsorship, exhibitor opportunity, advertisement, or other service purchased; billing name and address; amount; date; transaction identifier; and payment status. Payment-card information is processed by our payment processor and is not stored directly by YCMHA in complete form.
- Newsletter and communication preferences, including your email address, subscription status, areas of interest, and engagement with our messages.
- Form submissions and correspondence, including information you provide through contact forms, speaker proposals, sponsorship or exhibitor forms, event forms, resource submissions, member-news submissions, surveys, emails, and other communications.
- Content you authorize us to publish, such as a directory profile, logo, photograph, biography, organization description, event announcement, member spotlight, community resource, presentation material, testimonial, or other submitted content.
Please do not submit confidential client information, patient information, psychotherapy notes, case details that could identify an individual, Social Security numbers, or other unnecessary sensitive information through the Website or YCMHA forms.
2.2 Information Collected Automatically
When you visit or use the Website, we and our service providers may automatically collect limited technical information, including:
- Internet Protocol (IP) address;
- browser, device, and operating-system information;
- referring and exit pages;
- pages viewed, links clicked, and approximate visit times;
- account login, authentication, and session information;
- cookie identifiers and consent preferences; and
- diagnostic, performance, security, and fraud-prevention information.
We use this information to operate and secure the Website, remember preferences, understand Website use, diagnose problems, prevent abuse, and improve our content and services.
2.3 Comments and Uploaded Media
If comments are enabled and you leave a comment, we may collect the information entered in the comment form, your IP address, and your browser user-agent string to support moderation and spam detection. An anonymized version of your email address may be sent to Gravatar to determine whether you use that service. If your approved comment displays a Gravatar profile image, that image may be publicly visible with the comment.
If you upload an image for publication, remove embedded location information, including EXIF GPS data, unless you intend for that information to be public. Visitors may be able to download publicly displayed images and extract embedded metadata.
3. How We Use Personal Information
We may use personal information to:
- provide, administer, and support Website accounts and memberships;
- process registrations, payments, renewals, refunds, sponsorships, advertisements, and exhibitor arrangements;
- organize and communicate about meet-ups, conferences, member events, continuing education programs, and other activities;
- verify participation and issue, replace, or document continuing education certificates;
- operate member-only content, benefits, discounts, and online resources;
- create and maintain public directory profiles when a member has requested or authorized publication;
- send transaction-related messages, including receipts, confirmations, reminders, renewal notices, account notices, program changes, and policy updates;
- send the Inside the Alliance newsletter and other promotional communications when you have subscribed or otherwise consented;
- review and respond to questions, proposals, applications, submissions, surveys, and requests;
- publish authorized member news, community resources, speaker information, sponsor recognition, testimonials, photographs, and other content;
- administer surveys, evaluations, and program-improvement efforts;
- understand Website use and improve our programs, communications, and services;
- detect and prevent spam, fraud, unauthorized access, security incidents, and misuse;
- maintain business, tax, accounting, accreditation, attendance, and legal records; and
- comply with legal obligations and enforce our agreements and policies.
We may combine information collected through different YCMHA interactions when reasonably necessary for these purposes.
4. Membership Accounts
YCMHA uses WordPress and MemberPress to manage member registration, access, subscriptions, and protected content. Information associated with a member account may include contact details, membership selection, transaction history, renewal status, account activity, and any profile fields completed by the member.
Individual login credentials may not be shared. If an Organization Membership permits multiple users, the organization’s designated account administrator may be able to view limited information about users connected to that organization, such as their names, email addresses, and membership access status.
Members may review or update much of their account information by logging into their account. Certain information may remain in transaction, continuing education, security, backup, or legal records after an account is closed.
5. Payments
Payments may be processed by Stripe or another payment provider identified at checkout. The payment provider receives the information required to complete the transaction, authenticate the payment method, prevent fraud, process recurring charges when authorized, and comply with financial laws.
YCMHA generally receives transaction details such as the payer’s name, contact information, billing address, payment status, transaction identifier, amount, date, and limited payment-method information, such as card brand and last four digits. We do not receive or store your complete card number or card security code.
Your payment provider processes information under its own privacy policy and terms.
6. Newsletter and Marketing Communications
If you subscribe to Inside the Alliance or another YCMHA mailing list, we may send your name, email address, subscription preferences, and email-engagement information to Mailchimp, our email marketing provider.
You may unsubscribe from promotional email at any time by selecting the unsubscribe link in an email. We may retain limited information on a suppression list so that we can honor your request. Unsubscribing from marketing does not prevent us from sending necessary messages about an account, transaction, membership, registration, continuing education record, or service you requested.
We do not add contact-form submitters or event attendees to a marketing list solely because they contacted us or attended an event unless they separately consent, or another lawful basis permits the communication.
7. Public Directory and Published Content
Information submitted for the Alliance member directory or another public profile may be visible to anyone and may appear in search-engine results. Depending on the information a member chooses to provide, a public listing may include a name, photograph or logo, professional credentials, organization, biography, specialties, populations served, location, contact information, website links, and service information.
We publish directory information only when the member or organization requests or authorizes the listing. Members are responsible for ensuring that their published information is accurate and that they have permission to submit organization logos, photographs, and other content. A member may request an update or removal by contacting us. Removal from the Website may not immediately remove copies previously indexed, cached, archived, shared, or downloaded by third parties.
Member news, event announcements, speaker information, sponsor recognition, testimonials, photographs, and other content may also be made public when submitted or authorized for that purpose.
8. Events, Conferences, and Continuing Education
We collect information necessary to administer registrations, attendance, communications, evaluations, accommodations, continuing education, sponsorships, and event safety.
If you request continuing education credit, we may retain information necessary to verify attendance or completion and to document the credit issued. We may share this information with an accrediting body, licensing board, auditor, or other authorized entity when required to administer the program, respond to a verification request, satisfy accreditation requirements, or comply with law.
Event photographs, audio, or video may be taken and used as described in the event notice, registration terms, or media release. When practical, attendees who do not want to be prominently photographed may notify YCMHA or the event photographer. This does not guarantee exclusion from incidental crowd or background images.
9. Attendee Lists
YCMHA does not provide an attendee’s contact information to conference sponsors, exhibitors, or other attendees merely because the person registered for or attended an event.
If an optional attendee list is offered, contact information will be included only when the attendee gives separate, affirmative permission during registration or through another clear consent process. The registration form will identify the information to be shared and the intended recipients or recipient categories. Declining permission will not prevent registration or attendance.
An attendee may withdraw permission for future disclosure by contacting us before the list is distributed. Once information has been shared as authorized, YCMHA may not be able to retrieve copies already received by third parties. Recipients are expected to use attendee information only for the disclosed purpose and in accordance with applicable law and any agreement with YCMHA.
10. Cookies and Similar Technologies
The Website uses cookies and similar technologies. Depending on the features you use, these may include:
- Essential cookies needed for security, page functions, account login, payment sessions, and saved privacy choices;
- Preference cookies that remember settings such as login or display selections;
- Analytics cookies, if enabled and permitted, that help us understand Website traffic and usage; and
- Embedded-content or marketing cookies, if enabled, that may be set by services whose videos, forms, maps, social media, or other content appears on a page.
When you visit a login page, the Website may set a temporary cookie to determine whether your browser accepts cookies. Login and authentication cookies help maintain your session and, if you select “Remember Me,” keep you signed in for a longer period.
You can manage nonessential cookies through the cookie-consent tool displayed on the Website, when available, and through your browser settings. Blocking essential cookies may prevent account login, registration, checkout, or other Website functions from working correctly.
For a current, detailed list of cookies, providers, purposes, and expiration periods, please review our Cookie Policy.
11. Embedded Content and External Links
The Website may contain embedded videos, forms, calendars, maps, documents, social-media posts, or other content provided by third parties. It may also link to third-party websites, resources, affiliate partners, members, sponsors, speakers, registration services, or social-media platforms.
Embedded content may behave as though you visited the third party’s website directly. The third party may collect information, use cookies, or monitor your interaction according to its own privacy practices. YCMHA does not control and is not responsible for the privacy, security, or content of third-party services. Review the privacy policy of a third party before submitting information to it.
12. How We Disclose Personal Information
We may disclose personal information in the following circumstances:
12.1 Service Providers
We use service providers to operate our Website and programs. Depending on the service and your interaction, these providers may include:
- SiteGround for website hosting, backups, security, and related infrastructure;
- WordPress, Divi, and installed plugins for Website operation and design;
- MemberPress for membership accounts, access, subscriptions, and transaction records;
- Stripe or another payment provider for payments, recurring billing, refunds, and fraud prevention;
- Mailchimp for newsletter subscriptions and email communications;
- Google services for forms, documents, video meetings, embedded files, analytics, or other functions when used;
- The Events Calendar and related tools for event listings and registration functions;
- spam prevention, security, analytics, form, automation, and technical-support providers; and
- accountants, attorneys, contractors, and other professional advisers who need the information to perform services for YCMHA.
These providers may process information only as needed to provide their services, comply with law, secure their systems, or as otherwise described in their own notices and agreements.
12.2 At Your Direction or With Your Permission
We may disclose information when you ask or authorize us to do so. Examples include publishing a directory profile, submitting an event announcement, consenting to an attendee list, requesting a referral connection, or authorizing sponsor or speaker recognition.
12.3 Legal, Safety, and Business Purposes
We may disclose information when reasonably necessary to comply with law, a subpoena, court order, licensing or accreditation requirement, or lawful government request; protect the rights, safety, property, and security of YCMHA or others; investigate fraud or misuse; enforce an agreement; or obtain professional advice.
If YCMHA undergoes a merger, reorganization, sale, transfer of assets, or similar transaction, information may be transferred as part of that transaction, subject to applicable law and appropriate safeguards.
13. Sale of Personal Information and Targeted Advertising
YCMHA does not sell personal information for money. YCMHA also does not currently use personal information for targeted advertising across unrelated websites or use personal information to make decisions that produce legal or similarly significant effects through automated profiling.
Some privacy laws define “sale,” “sharing,” or “targeted advertising” broadly and may treat certain advertising or analytics technologies as covered activities even when no money changes hands. If YCMHA adopts technology that triggers an opt-out right under applicable law, we will update this policy and provide the required opt-out method.
14. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining accurate business and continuing education records, resolving disputes, enforcing agreements, and meeting legal, tax, accounting, security, accreditation, and reporting obligations.
Our general retention practices are:
- membership and account records: for the life of the account or membership and generally up to seven years afterward;
- payment, invoice, sponsorship, and transaction records: generally seven years;
- continuing education attendance, evaluation, and certificate records: generally at least seven years, or longer when required by an applicable accrediting body or law;
- event registration and participation records: generally up to seven years when connected to payment, continuing education, contracts, or reporting, and for a shorter period when those purposes do not apply;
- contact forms, proposals, and general correspondence: generally up to three years after the matter is resolved, unless a longer period is needed for an ongoing relationship or legal purpose;
- newsletter information: until you unsubscribe or we discontinue the list, with limited suppression information retained as needed to honor opt-out requests;
- public directory information: while the listing is active or until removal is requested, subject to reasonable backup, archival, and technical-deletion periods;
- Website security and server logs: generally up to 12 months, unless needed longer to investigate an incident or comply with law; and
- comments and associated metadata, if comments are enabled: for as long as the comment remains published or reasonably necessary for moderation and spam prevention.
Retention periods are guidelines and may vary when information must be preserved for litigation, investigation, safety, fraud prevention, contractual obligations, accreditation, or other legal requirements. Information may remain temporarily in restricted backups after deletion from active systems.
15. Your Privacy Choices and Rights
Depending on where you live and whether a particular privacy law applies to YCMHA, you may have the right to:
- confirm whether we process your personal information;
- request access to or a copy of certain personal information;
- correct inaccurate personal information;
- request deletion of certain personal information;
- obtain certain information in a portable format;
- opt out of the sale of personal information, targeted advertising, or qualifying automated profiling;
- withdraw consent when processing is based on consent; and
- appeal our decision concerning a privacy request.
You may also:
- update available account information through your member account;
- unsubscribe from promotional emails using the link in the message;
- manage nonessential cookies through the Website’s consent tool or your browser;
- request correction or removal of a public directory listing; and
- decline optional inclusion in an attendee list.
To submit a privacy request or appeal a decision, email info@ycmentalhealthalliance.com with the subject line Privacy Request. Describe your request and identify the email address associated with your account or interaction. We may need to verify your identity before completing the request. An authorized agent may submit a request when permitted by law, but we may require proof of authority and identity verification.
We will respond within the timeframe required by applicable law. Certain information may be exempt from access, correction, portability, or deletion, including information we must retain for transactions, taxes, continuing education verification, accreditation, fraud prevention, security, legal claims, free expression, or compliance with law. We will not discriminate against you for exercising an applicable privacy right.
16. Security
YCMHA uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. These may include controlled administrative access, password protection, encryption in transit, software updates, backups, security monitoring, and the use of established payment and hosting providers.
No website, email, database, or online transmission is completely secure. You are responsible for using a strong, unique password and protecting your account credentials. Notify us promptly if you believe your account or personal information has been compromised.
If a data breach requires notification, YCMHA will provide notice in accordance with applicable law.
17. Children’s Privacy
The Website, professional memberships, directory, and continuing education programs are intended for adults and are not directed to children under 13. YCMHA does not knowingly collect personal information online from a child under 13. If you believe a child has submitted personal information to us, contact us so we can review and delete it when appropriate.
18. Information About Other People
If you submit information about another person—for example, registering a colleague, adding users to an Organization Membership, nominating a member, or providing a speaker or sponsor contact—you represent that you are authorized to provide the information and that it may be used for the purpose for which it was submitted.
Do not submit information about a client, patient, or other person receiving mental health services through YCMHA’s Website or forms.
19. Visitors Outside the United States
YCMHA is based in Montana, United States, and its Website and programs are primarily intended for individuals and organizations in the United States. If you access the Website from another country, your information may be processed and stored in the United States, where privacy laws may differ from those in your location.
20. Changes to This Privacy Policy
We may update this Privacy Policy as our Website, programs, technology, or legal obligations change. The “Last updated” date identifies the latest revision. If a change materially affects how we use personal information, we may provide additional notice through the Website, by email, or through a member account when reasonably appropriate.
